One of our clients, a company specializing in SAP solutions for the IT sector, approached us with a clear challenge: optimize internal processes to improve resource management, billing, and visibility across activities. 

The issues were concrete and directly impacted productivity: unstructured timesheet reporting, inefficient resource allocation, and slow, disconnected billing workflows. 

From day one, we knew the best strategy was to move forward in progressive, focused steps, always keeping the client involved and delivering value at each stage. That’s why we structured the implementation of AIM Easy in 5 sprints, each targeting a specific business need. 

THE CHALLENGE 

Our client was managing a wide range of consulting activities, but their internal operations were fragmented and inconsistent. Key challenges included: 

  • Activity tracking: timesheet submission and approval processes were disorganized, affecting both resource oversight and cost transparency. 
  • Staffing: difficulty assigning the right people to the right projects, causing inefficiencies and overloads. 
  • Billing & external resource management: delays in generating invoices and tracking purchased services, with direct impact on cash flow. 

The goal was clear: streamline the end-to-end operational cycle, from team management to billing, while maintaining full integration with SAP S/4HANA. 

THE SOLUTION 

AIM Easy was implemented through 5 sprints, each with clear objectives and tangible results. This approach allowed them to experience continuous improvements without having to wait until the end of the project to see the first outcomes. 

To tackle these challenges, we structured the implementation into five sprints, each focused on a specific area of improvement. This method provided immediate and progressive benefits without disrupting daily operations. 

SPRINT 1: ENHANCING TIMESHEET MANAGEMENT

They needed greater flexibility and customized functionality for tracking employee hours. We developed the My Timesheet app, making it more intuitive to record hours by adding specific fields tailored to the client’s needs and optimizing integration with the approval workflow. 

Result: Timesheet management became more accurate and faster, reducing errors and improving visibility into performed activities. 

SPRINT 2: SMARTER RESOURCE ALLOCATION

One of the most significant issues was managing staff assignments across projects. With the introduction of the Project Staffing app, managers could plan assignments more effectively, ensuring optimal resource utilization. The system displays each consultant’s availability, preventing overload or underutilization. 

Result: the resource allocation process became more efficient, leading to a more balanced workload distribution and a 30% increase in team productivity. 

SPRINT 3: REAL-TIME ACTIVE BILLING MONITORING

Managing the billing of services was critical for them. Thanks to the Active Monitor app, project managers can now track worked and billable hours in real time, automatically generating sales orders. 

Result: the time required for billing was reduced by 35%, improving cash flow and minimizing calculation errors. 

SPRINT 4: OPTIMIZED MANAGEMENT OF EXTERNAL RESOURCES

Alongside active billing, the management of external service purchases was also optimized. By implementing Passive Monitor, the process of verifying and approving supplier performance became faster and fully traceable. 

Result: enhanced control over expenses and a reduced risk of errors or discrepancies in supplier contracts. 

SPRINT 5: COMPLETE VISIBILITY WITH GLOBAL CALENDAR

The final sprint provided them with an overall view of their consultants’ activities. With the introduction of Global Calendar, managers can now see resource utilization in real time, facilitating work planning and workload balancing. 

Result: improved workload management and an overall boost in productivity, with faster, data-driven decision-making.
